The Order Processing Office Administration will be responsible for receiving, evaluating, and processing customer orders accurately and efficiently. This person ensures the communications lines remain open and function efficiently between the customers placing the orders. Various administrative tasks are required, when not actively working with incoming orders. The role is requires background in Apparel or Textile environments as well as a professional manner taking telephone orders and other incoming calls.
Located near Islington and QEW
Duties include:
Take telephone orders and other enquiries, enter orders into the system
Various administrative, duties, scanning in orders, confirming availability of inventory for client requests/orders
take responsibility for ensuring orders are filled on time and accurately.
accurately follow team and departmental processes and procedures;
have a positive, supportive and proactive attitude; be able to adapt to change,
other miscellaneous duties, as assigned.
Responsibilities and Duties
Key Responsibilities:
Perform daily customer service function as per client\'s needs.
Produce accurate information and documentation on time.
Participate in improving quality and processes.
Processing and confirming all incoming orders, this position requires experience in the following areas:
Attention to detail and works well under pressure in a team environment
Accurate data entry skills and the ability to prioritize workloads
Excellent coordination and follow up skills must be organized. * Timely and accurate management of sales orders and purchase order data.
Correctly set up purchase requests to purchase orders to internal persons dealing with this
Monthly returns reporting and some inventory management
Maintain customer files and records.
Update and manage internal price lists, scanning of internal documents
Liaise with sales force to ensure customer orders are appropriate, inventory is available and delivery dates are realistic.
Liaise with internal import department to help coordinate product delivers with customer orders on time.

Qualifications and Skills
Required Skills and Education:
Must have a strong attention to detail
Proficient in the MS Office suite of applications (Word, Excel, Outlook)
Must be well motivated, and results-oriented
Must work well independently, under pressure and be proactive
Excellent communication ability in English
Ability to work hours 11am to 7pm, clients in BC contact on Pacific time
Experience with filling orders for similar B to B focused Hospitality/Textile/apparel company selling product bought in from the far east would be an advantage |
