Description :

Position: Order Entry / Customer Service Associate

Main responsibilities:
Order entry to ensure all customer orders are fulfilled 100%, delivered on time and correctly.

• Order Entry
? Co-ordinate with sales/order entry manager to process purchase orders
? Working with imports manager to be sure we have enough stock for purchase orders
? Manually keying in purchase orders for non-EDI customers
? Accurate and timely turn around
? Ensure customer expectations are met
? Answer internal inquires regarding the status of orders and products
? Entering all sample requests given from sales reps/designers and customers
? EDI Support – ensuring timely and accurate processing of all EDI transactions

• FedEx/Couriers
? Preparing Shipments online
? Negotiate freight rate between different couriers
? Helping designers put together packages
? Ordering FedEx boxes, waybills, etc.

• Chargebacks
? Working with Accounts receivable to retrieve all relevant materials (mainly for paper trail evidence), research underlying nature of the chargeback to determine proper handling
? Pulling all relevant and supporting documents to fight chargeback

• Returns
? Responsible for full function of returns – return authorization to handling of return into stock or otherwise
? Collecting paper work from TSI ( third party warehouse) and customers
? Reconciling papers between TSI and customers to be sure correct amount has been returned
? Work with order entry manger on decisions on damaged products

• Workorders
? Writing work orders to the warehouse for the purpose of instructing any changes in handling or ticketing to our product or special shipping instructions.
? Pulling samples/getting pictures from warehouse to be sure we have clear understanding on what changes need to be made
? Clearly explain any modifications necessary including pictures where possible for clarity

• Reports
? Running inventory reports for Sales Team
? Maintenance of open order status and all order processing status at all times
? Running Gross profit reports for President/VP
? Sending inventory update online to eBags/ShoeBuy 2 days a week (back-up)

• IT Maintenance and liaison
? Phone system
? Fax system
? Copiers
? Front Door Security
? Computers

o Coordinate with external IT consultant

? Must be detailed oriented, organized in work with good follow up.
? Maintain awareness of customer needs , order status, inventory status, internal requirements, warehouse functions, to maximize order processing
? Use skills and experience to anticipate situations as opposed to simply reacting – preventative approach.
